Backups, and bringing in data

The server keeps your tracker, and the person running it should be keeping backups of the whole database. You can still export your own copy at any time, and you can bring in data from a standalone tracker. Both are at the top of Rules & settings, under Your data file.

Export your own backup

  • Export .json — everything in the current account: decisions, log, students, and the list of attached files.
  • Export .zip with files — the same plus every attached receipt and report; shown once the account has attachments.
  • Export .sqlite — the same as a SQLite database with readable tables, for a spreadsheet or SQLite tool.
  • Export log as .csv — the expense log only.

Exports cover the account you're looking at; switch accounts first if you belong to several.

Bringing in a standalone tracker

If you kept the books in the standalone tracker before moving to the server:

  1. In the standalone tracker, Export .json (or Export .zip with files if receipts are attached there; the files come along).
  2. Sign in to the server, make sure the header shows the account you want to fill, and Import a file….
  3. Choose Replace all my data for a fresh account, or Merge into my data if the account already holds something. Merge keeps everything on both sides; where the same line or entry exists in both, the more recently changed one wins, and the student list is replaced by the file's.

The import is saved to the server straight away, so every member sees it.

Taking data out again

The .json export imports into a standalone tracker the same way, if you ever want a copy that works without the server.
